Notarial services

For reference, see the Hong Kong Society of Notaries.

If you require the following services and they cannot be provided by a local solicitor or notary public, please contact the Consular Section by email at hkongcanadaconsul@international.gc.ca for an appointment.

A fee will be charged for each service provided.

Certified copies

Consular Officers can certify true copies of original Canadian documents such as birth, marriage and death certificates. The person requesting the service must go to the Consulate with their original documents and proof of identity such as a passport or a citizenship card.

Certificate of Non-impediment to Marriage

The laws of some countries require that, before a foreigner can marry within their jurisdiction, they must present their “Certificate of Non-impediment to Marriage” issued by the authorities of their country. There is no specific legislation in Canada authorizing the issuance of a certificate. Although the Consulate does not issue the certificate, we can prepare a letter that may satisfy the Hong Kong or Macao SARs authorities. A fee will be charged for this service.

Hong Kong Certificate of No Criminal Conviction

If you are a Canadian Citizen and need to obtain a “Certificate of No Criminal Conviction (Overseas applicants)”, please refer to the Certificate of No Criminal Conviction | Hong Kong Police Force website. If required, the Consulate can issue a facilitation letter to assist you. A fee will be charged for this service.

Authentication of documents

For information on authentication of Canadian documents for use in Hong Kong or Macao, please contact the Authentication Services Section of Global Affairs Canada.

Consular officials do not provide any legal advice or represent a person in court.

Processing time

The normal processing time for passports is 20 working days, excluding holidays and postal delivery time regardless of whether the application is submitted via mail-in, drop-box or in person. This starts from the day after the assessment of a fully completed application with supporting documentation*. Please allow for 5 to 6 weeks in total, including mailing time.

It is recommended that you do not finalize your travel plans until you receive your new passport.

* Incomplete applications will be returned to the sender.

Emergency passport applications

For emergency services within office hours, please email hkongcanadaconsul@international.gc.ca. After office hours, please contact the Emergency Watch and Response Centre in Ottawa.

It is the responsibility of the individual to ensure their passports are valid for travel prior to making travel arrangements. If your passport has expired or does not have sufficient validity to accommodate your need to travel, we are unable to guarantee we can process your application prior to your departure date. Please email hkongcanadaconsul@international.gc.ca to give us details if you are in such a situation before submitting your application.

For Macao residents: Please enclose a return self-addressed envelope with attention to the applicant (large enough to enclose all of your original documents and the new passport).
