Before providing us with your personal information, please review this privacy notice statement.

Global Affairs Canada (GAC) is committed to protecting the privacy rights of individuals and safeguarding personal information under its control, in accordance with the provisions of the Privacy Act.

“Personal information” is defined as any information, in any form, about an identifiable individual. This includes details of an individual’s personal experiences, views or opinions, or views or opinions of another individual about the individual. Please refer to section 3 of the Privacy Act for further details regarding personal information.

GAC is coordinating a selection process for a ministerial appointment opportunity.

Information is collected under the authority of sections 10(1), 10(2)(c), 10(2)(d), 10(2)(e) and 13 of the Department of Foreign Affairs, Trade and Development Act.

Please note that refusal to provide the mandatory information may disqualify your application.

Should you decide to apply for a position, it is important for you to know that the submission of an application constitutes your consent to the collection, use and disclosure of the information provided therein, subject to certain exceptions as per the Privacy Act and as described in this privacy notice statement.

The necessary mandatory information has been indicated on the application form and identified in the application requirements. Information not identified as mandatory is optional. If completed, this information allows ministers, in making their appointment recommendations, to take into consideration the government’s commitment to achieve gender parity and reflect Canada’s diversity in terms of linguistic, regional and employment equity representation.

Once an application is received in the GAC mailbox, it will be placed in a secure system and deleted from the email server. Correspondence related to the application and selection process will be retained in the Electronic Document and Records Management System (EDRMS), one of the department’s corporate electronic repositories. If an application is received by mail, it will be placed in a secure cabinet that is accessible only by those responsible for ministerial appointments.

Your personal information will be used to assess your competencies, as required by the position’s merit criteria. The selection committee will be provided with all information related to the candidate for review. The selection committee will then assess the candidates identified and recommend a finalist(s) to be considered by the minister for endorsement. The information may also be used for policy analysis, research, statistical and/or evaluation purposes. If used for such purposes, personal identifiers will be removed and information aggregated. Please be advised that GAC may create a roster to identify candidates for similar opportunities offered by the department that may include your personal information. Please note that GAC will not use the information you submit for any other purpose without first obtaining your explicit consent.

Your personal information will be shared with the selection committee, which comprises departmental officials and a senior member of the Asia Pacific Foundation of Canada, Business Council of Canada and Canadian Manufacturers & Exporters. Prior to sharing personal information with the selection committee, a completed Confidentiality Undertaking for Members and Secretariat document is required that outlines the need for confidentiality and protection of privacy, and that following the selection process, all information will be returned to GAC to be destroyed.

The application packages of finalists who receive the minister’s endorsement will be forwarded to the Privy Council Office (PCO) for selection. Finalists will be required to complete a personal information sheet, ethical and political activity guidelines for public office holders certification and a PCO background check consent form for an RCMP criminal record and background check. Although these documents will be collected by GAC, they will be retained by the PCO.

You have the right to request access to your information and corrections where you believe there is an error or omission. You may contact the GAC’s Access to Information and Privacy Protection Division at dcp@international.gc.ca to exercise these rights.

You also have the right to file a formal complaint with the Office of the Privacy Commissioner of Canada at any time regarding GAC’s handling of your personal information.

Personal information will be retained for 5 years after the appointment process is completed and for an additional 2 years following any use for an administrative purpose.

Personal information will be protected under the provisions of the Privacy Act and is described in the Treasury Board Secretariat’s Standard Personal Information Bank for Members of Boards, Committees and Councils (PSU 919).

By providing your personal information, you acknowledge that you have read and understood this statement and consent to the collection, use and disclosure of your personal information by GAC.
