Completing your profile in Partners@International
Important note:
Before you start completing your organization profile, you must:
- Change the temporary password and user ID that were sent to you by email.
- Answer the security questions.
If your organization does not have a Partners@International account, please consult the How to register your organization web page for detailed information on how to register.
To complete your organization’s profile, please complete the following steps:
1. From the Partners@International Homepage, click on Organization Profile; you will see the following categories:
- Organization Details
- Organization Addresses
- Contacts
- Governing Body
- Financial Profile
- Organization Documents
- User Accounts
2. In the Organization Documents category, if your organization has produced the following documents (or related documents containing this information), upload them here:
- Organizational chart
- Board members’ roles and responsibilities
- Annual report
- Business or Strategic Plan of the organization
- Organization's mandate, vision and objectives (if these are not included in the business or strategic plan provided)
- Two (2) independent institutional evaluations, audits and/or assessments
- Anti-corruption policy or procedures or code of ethics
- Procurement policy, practices, procedures and/or standards
- Risk management strategy
- Gender equality policy
- Human rights policy
These documents are attached to your Organization Profile and do not need to be uploaded each time you submit an application form. It is your responsibility to ensure that these documents are updated as necessary. We strongly suggest that you review your organization documents regularly to ensure that they are always up-to-date.
To upload documents:
- Click on “Add Document”
- Enter the title of the document in the Name field
- Add a description if needed (a few words are sufficient)
- Select the type of document from the dropdown menu
- In the Attachment field, click on Browse and select your document
- Click on Save
- Repeat all these steps to upload all new documents or repeat steps 4 and 5 to upload an updated version of a document.
Important note:
Unless specified as part of a call, it is not mandatory to provide any of these documents with your application for funding. However, if these documents are not available in the Partners@International portal at the time your proposal is submitted, it will be assumed that your organization does not have them (or related information), which may impact Global Affairs Canada’s evaluation of the risk related to funding your proposed project.
3. In the Financial profile category, upload your organization’s two most recent financial statements.
If you are completing your profile for the first time, start with step 1.
If you are updating your profile, go directly to step 7.
- Click on the Update Fiscal Year End button and specify your fiscal year end date
- Click on Save. This will bring you back to the Financial Profile screen
- Click on Add Fiscal Year Result
- Enter a Fiscal Year End from the drop down menu
- Add your revenue in the Total Canadian Revenues (CAD) field
- Click on Save
- Under Fiscals, click on the year. This will bring you to Fiscal Year Financial Results screen
- Click on Add Financial Document
- Enter the title of the document in the Name field
- Add a description
- In the Attachment field, click on Browse and select your document
- Click on Save. Your uploaded document will now be displayed under Financial Statement Documents
- Click on Save again. This will bring you back to the Financial Profile screen
Please note, if financial statements have been specified as a requirement for the process in which you are seeking to submit a proposal, you will have to upload these financial statements before submitting your proposal.
4. In the Organization Details category, read through the information and ensure that it is up-to-date.
5. In the Contacts category, make sure that the coordinates of your point of contact are accurate. The contacts page allows Global Affairs Canada staff to reach a designated point of contact in your organization.
6. The User Accounts category contains information on user accounts. It is important that you keep track of these accounts as they are tied to individuals who can modify your account or complete submissions by adding or removing documents. If you lose access to your account because all of these individuals have left or lost their password, contact Partners@International at partners-partenaires@international.gc.ca to request a new user name or to reset a password. Please be sure to keep your user account information updated, as loss of access to your account can cause delays in your submission.
